How to Install and Set Up the Zoho Mail Desktop App
Using the dedicated desktop client keeps your workspace tidy without cluttering browser tabs and ensures real-time desktop notifications. Here is a step-by-step setup guide for both Windows and macOS.
1. Download the Installer
Visit the Official Site: Go to the official Zoho Mail desktop download page ([zoho.com/mail/desktop/](https://zoho.com/mail/desktop/)).
Choose Your OS:
Windows: Download the .exe installer (64-bit recommended).
macOS: Download the .dmg package (select Intel chip or Apple Silicon M-series based on your Mac).
Linux: .deb and .AppImage formats are also available if needed.
2. Installation Steps
For Windows:
Double-click the downloaded .exe file.
If the User Account Control (UAC) prompt appears, click Yes.
Follow the setup wizard instructions and click Next then Install to finish.
For macOS:
Open the downloaded .dmg disk image file.
Drag and drop the Zoho Mail icon into the Applications folder.
Launch the app from Launchpad or Finder. (If a gatekeeper security notice appears, head to System Settings > Privacy & Security and allow it to open).
3. Account Login & Configuration
Zoho Account Sign-in:
Launch the app and enter your Zoho Mail address.
Enter your password and complete two-factor authentication (OTP) if enabled.
Adding Multiple Accounts:
The Zoho Mail desktop client supports multi-account management. You can add external business or personal accounts (Google Workspace, Microsoft 365, or standard IMAP/POP3).
Click your profile avatar > Settings > Add Account to connect additional addresses.
4. Recommended Post-Install Settings
Launch on Startup: Go to Settings > General and toggle on Launch on System Startup so background mail synchronization runs as soon as your machine boots.
Desktop Notifications: Head to Settings > Notifications to turn on banner pop-ups and sound alerts for incoming priorities.
Dark Mode: Access theme options to switch to dark mode for a cleaner look and reduced eye strain during long working hours.
